Exception queue labels that survive analytics

Colorful sticky notes arranged on a board

“Other” is where metrics go to die. If half your invoice verification workflow exceptions land there, leadership sees volume without cause—and you lose the chance to fix root issues.

Start with five verbs

Most desks can live with a short dictionary: mismatch amount, mismatch quantity, missing receipt, tax document gap, vendor master conflict. Sub-codes can exist, but the top level should stay speakable in a standup.

Ban overlapping meanings

If both “price variance” and “PO mismatch” can describe the same invoice, pick one rule and write it down. Ambiguity is how two analysts label identical cases differently in the same afternoon.

Review the dictionary quarterly

New suppliers and new tax rules introduce new failure modes. Schedule a thirty-minute label review after each Controllers Circle-style retrospective—or after any major ERP change.
